How to win back lapsed gym members

A member who has let their membership lapse is not a stranger. They know your gym, your trainers and your location. That makes lapsed members some of the warmest people you can speak to, and most gyms never call them.

Sort the list first

Do not treat everyone the same. Group lapsed members by how long ago their membership ended:

  • Recently lapsed (within a few weeks): most likely to return, and the first to contact.
  • Lapsed for a few months: worth one friendly message or call.
  • Long gone: contact only for a special occasion, such as a new batch or a new facility.

Find out why they left

Before offering anything, ask. The reason decides what you say: time, cost, travel, a trainer who left, an injury, or simply a lapse in habit. Write the reason in their record. Patterns across many members show you what to fix.

What to say

Recently lapsed: “Hi [name], this is [your name] from [gym]. We noticed your membership ended on [date]. I wanted to check how you are and whether anything made it hard to continue. We would love to have you back.”

After a few months: “Hi [name], it has been a while. We have [something real that is new]. If you would like to come back, I can set you up this week.”

Decide what to offer

You do not have to offer a discount. Sometimes a new plan, a different batch or a fresh measurement session is more persuasive. If you do offer a discount, decide the rule in advance, apply it consistently and record it with the payment so your reports stay honest.

Know when to stop

Two or three polite attempts are reasonable. If you hear no, thank them and keep the record. Do not chase. A respectful goodbye leaves the door open and keeps your reputation intact.

Keep the list useful

  1. Review the lapsed list once a month.
  2. Note the date of each contact and the response.
  3. Move members who returned back to active, with new dates.
  4. Remove contact details of anyone who asked not to be contacted.

How this works in Gymnaro

Members whose memberships have ended show with an expired status, and their profile, measurements and payments stay on record. When a member returns, assign a package with a new start and end date. Record any discount with the payment. See how to track gym membership renewals and how to follow up expiring members.

Three low-cost win-back ideas

  • An invitation to a new batch or class: a reason to return that is not just a discount.
  • A free measurement session: a fresh baseline and a fresh goal.
  • A re-onboarding plan: a simple first-month plan for people coming back.

Record what you tried

For each member you contact, note the date, what you said and what they answered. After a few months you will see which approaches bring people back, and which only create goodwill. That is more reliable than guessing.

Questions owners ask

How long after a membership ends should I contact someone?

Within a few weeks is best. The longer the gap, the less personal it feels.

Is it intrusive to contact lapsed members?

A polite, personal message is not. Respect anyone who asks not to be contacted again.

Common mistakes

  • Never contacting lapsed members. They are your easiest sign-ups.
  • The same message for everyone. Match it to how long they have been away.
  • Unrecorded offers. Always note what you promised.
