If you have not set up a way to see expiring memberships yet, start with how to track gym membership renewals.
When to follow up
| When | What to do |
|---|---|
| About 7 days before the end date | First conversation. Ask about renewal, a change of package or a pause |
| 2 to 3 days before | A second, short check if you have not heard back |
| On the end date | Be at the desk or reachable. Many members renew when they walk in |
| A few days after | One last, friendly follow-up, then move them to your lapsed list |
Seven days is a practical starting point, and it matches the 7-day count on Gymnaro's dashboard. Adjust the numbers to your gym. If most of your members pay on the day they walk in, the end-date visit matters more than the call.
Who should reach out
The person the member already knows. That might be the trainer, the front-desk owner or you. A familiar voice gets a better answer than a stranger reading a list.
What to say
Keep it short, specific and about the member, not about your revenue.
On a call
“Hi [name], this is [your name] from [gym]. Your [package] runs until [end date]. I wanted to check you are happy with how it is going, and ask whether you would like to continue. Would you like to renew for the same package, or would a different one suit you better?”
In person at the desk
“Your membership ends on [date]. Do you want to continue with the same package, or change it?”
Three things make these work: you use their name, you give the actual end date, and you offer a choice between continuing and changing, not a yes or no.
Handling the common replies
- "I will renew later." Ask when. Note the date they give and follow up then, instead of leaving it open.
- "It is too expensive." Show the other packages you have. Do not offer a discount you have not planned for. If you do offer one, record it with the payment so your records match.
- "I am travelling or busy." Offer to renew on the date they return, and record that date.
- "I am not sure it is working for me." Listen first. If you have their body measurements or a workout plan on file, use them to show what has changed and what the next step could be.
- No reply. Try again once at the next point in the timing table, then move them to the lapsed list.
What to record after every contact
For each member you contact, write down:
- the date you spoke;
- what they said;
- the next action and its date.
Without this, you will either call the same person twice or forget the person who asked you to call back on Friday. When a member renews, record the new start date, end date and payment the same day, so that your expiring list stays accurate.
Keeping this in one place with Gymnaro
- The dashboard shows how many memberships expire in the next 7 days.
- Each member profile holds their package with start and end dates, payments and receipts, and measurements and plans.
- You record a renewal as a payment with amount, mode, discount and status, and open the receipt.
See the renewals and payments page for how it fits together, or start on the free plan.
Common questions
How early should I contact a member whose membership is expiring?
About a week before the end date works well for most gyms. It leaves time for a conversation and a decision without being so early that it is forgotten.
What if a member does not answer?
Try once more a couple of days later, and again around the end date. After that, move them to a lapsed list and check it monthly.
Should I offer a discount to members who are about to leave?
Decide your policy in advance, not on the call. If you give a discount, record it with the payment so your reports are correct.
Who should follow up: the owner or the trainer?
Whoever the member knows best. For many gyms that is their trainer.
How do I know who is expiring this week?
Keep an end date on every membership and check a list of memberships that expire in the next 7 days. In Gymnaro, the dashboard shows that count.
