Gym register vs Excel vs Gymnaro

Most gyms start with a paper register. Many move to an Excel sheet. Some move to an app. None of these is wrong. The right one depends on how many members you have, how many people touch the records, and what you need to see at a glance.

This page compares the three honestly, including where a register or a spreadsheet is enough.

When a paper register is enough

  • You have a small number of members and one person runs the desk.
  • You rarely need to look back across months.
  • You do not need to find out who is expiring without reading the whole book.

The risks are lost or damaged pages and the time it takes to find anything. A register cannot tell you who expires next week without you reading it.

When Excel is enough

  • One person owns the file and nobody else edits it.
  • You are comfortable with filters and basic formulas.
  • You have one branch.

Excel is a good tool for a single owner. It strains when two people edit different copies, when a formula is overwritten by accident, or when you want members to see anything themselves.

When it is time for an app

Switch when you recognise two or more of these:

  • you spend time every week working out who is due for renewal;
  • payments and memberships live in different places and do not match;
  • more than one person updates records;
  • you have, or plan to have, a second branch;
  • you want to show members their measurements or give them plans.

What changes with Gymnaro

  • Renewals: each membership has a start and end date, and the dashboard shows how many expire in the next 7 days.
  • Payments: each payment is recorded with amount, mode, discount and status, and you can open a receipt.
  • One place: members, packages, payments, measurements, plans, trainers, enquiries and expenses are in the same app.
  • More than one gym: one owner account runs several gyms, with members, packages and reports separate for each.
  • Members: members sign in with the mobile number you registered to see their membership, payments, attendance, measurements and plans.

See the renewals and payments page for the details, or read how to track gym membership renewals whichever tool you use.

Moving from a register or Excel

You do not have to move everything at once. A practical way:

  1. Create your gym and your packages.
  2. Add the members whose memberships are active now.
  3. Enter each member's package with its start and end date.
  4. Keep the old register for history and stop writing in it.

Common questions

Is Excel good enough for a gym?

For one owner and one branch, often yes. It starts to strain when more than one person edits records or when you want a quick view of who is expiring.

Is a paper register bad?

No. It is simple and free. Its limits are searching, summing and recovering from lost pages.

Is Gymnaro free?

Yes. Gymnaro has a free plan, so you can start managing your gym without paying anything.

Can I run more than one gym in Gymnaro?

Yes. One owner account can run several gyms, and you switch between them in the app. Packages, members and reports stay separate for each gym.

Can I export my data?

You can export members and payments to CSV.
