How to manage multiple gym branches from one account

The first branch runs on your attention. The second one is where records start to slip: two registers, two sheets, and no single place to see how each gym is doing. A little structure early avoids most of it.

Keep each gym's records separate

Members, packages and revenue belong to a branch. Mixing them makes it impossible to see which gym is doing well and which needs attention. Separate records per gym give you a clean view of each.

Share what is common

Some things are the same everywhere: your workout and diet plans, your way of following up renewals, your package naming. Build these once and use them in every branch so members get the same experience wherever they train.

Use one login, not many

Switching between separate accounts or files wastes time and invites errors. One owner account that can switch between gyms keeps you in control without carrying a different set of credentials for every branch.

Set a common routine

Agree on a short routine every branch follows: the weekly check of expiring memberships, the pending payments review and the attendance routine. When every branch works the same way, comparing them is meaningful.

Compare on the same measures

Decide a few numbers to look at for each gym: active members, this month's revenue and memberships expiring soon. Looking at the same numbers every week shows trends before they become problems.

What to keep the same and what to let differ

Not everything should be identical across branches. A useful split:

  • Keep the same: package names and durations, the plan library, the weekly routine and the way payments and discounts are recorded.
  • Let differ: local prices, opening hours, batch timings and the trainers on the floor.

Keeping the first list identical is what makes branch-to-branch comparison honest.

Setting up a new branch

  1. Add the new gym to your owner account, with its name, address and timings.
  2. Create its packages, reusing the names you already use.
  3. Share the workout and diet plans you want available there.
  4. Add its members and assign each a package with start and end dates.
  5. Agree the weekly routine with the branch manager before opening day.

When one branch is struggling

Look at the same few things in the same order: active members compared with last month, memberships that expired without renewal, and pending payments. A branch that is losing members usually shows it in the first two before it shows in revenue. Speak to the manager with the numbers in front of you and agree one thing to change, not five.

Common mistakes

  • One shared register for all branches. You cannot tell which gym a payment belongs to.
  • Different package names in each branch. Comparing branches becomes guesswork.
  • No agreed weekly routine. Each manager invents their own, and nothing lines up.
  • Only looking at total revenue. A healthy total can hide a branch that is losing members.

A weekly branch review

  1. For each gym, note active members, this month's revenue and memberships expiring soon.
  2. Compare the numbers with last week.
  3. Pick one thing to ask each branch manager about.
  4. Agree the one change to try before next week.

Questions owners ask

Do all my gyms need the same packages?

Not necessarily, but using the same names for the same durations makes comparison easier.

Can a trainer work across branches?

That is a staffing decision. Whatever you decide, keep each member's records in the gym they belong to.

How this works in Gymnaro

  • One owner account can run several gyms, and you switch between them in the app.
  • Packages, members and reports stay separate for each gym.
  • Workout and diet plans can be shared across your gyms.
  • Use it on Android, iPhone, iPad and the web.
