Gym member onboarding: the first 30 days

Many gyms spend their effort on getting people to sign up and much less on what happens next. The first weeks are when a new member decides whether the gym is part of their life. A short, repeatable onboarding plan is easy to run and makes those weeks count.

Day 0: Set the member up properly

  • Record the member with name, phone number and the details you want on file.
  • Assign their package with a start date and an end date.
  • Take baseline measurements, and photos if the member agrees.
  • Agree a simple first goal in the member's own words and write it down.
  • Tell them they can sign in to the member app with the mobile number you registered.

Days 1 to 7: Orientation and a first plan

Show the member around the gym, introduce their trainer and assign a simple workout plan with start and end dates. Keep the first plan achievable. A plan that is too long is abandoned within a fortnight. Note attendance from the first visit.

Week 2: A short check-in

Have a brief conversation, in person or by phone. Ask how the sessions feel, whether the timing suits them and whether anything is confusing. If they have missed sessions, ask without judging. This is the point at which many members quietly drift, and a friendly question often keeps them.

Week 4: Review and set the next goal

  1. Take the first measurements since the baseline.
  2. Look at the attendance pattern together.
  3. Talk about what went well and what to change.
  4. Agree the next goal and update or assign a new plan.

Who does what

  • Front desk: sets up the record, package and dates; marks attendance.
  • Trainer: orientation, plan, week-2 check-in and week-4 review.
  • Owner or manager: checks that every new member reaches week 4.

How this works in Gymnaro

Each member has a profile with their package and dates, measurements and progress photos, assigned workout and diet plans, and attendance, and can see these in the member app. See body measurements and progress tracking, what members see in the app and attendance tracking.

Adapt for different members

  • A complete beginner: go slower on the first plan, spend more time on technique and check in earlier.
  • Someone returning after a break: remind them how to build back up and agree a sensible first month.
  • An experienced member: keep orientation short and spend the time on their goal and their plan.

A week-2 check-in script

“Hi [name], it is [your name] from [gym]. You have been coming for two weeks. How are the sessions feeling? Is the timing working for you, and is there anything about the plan you would like to change?”

Listen more than you talk. Write down what they say and the one thing you will do about it.

Questions owners ask

Do I need to do this for every member?

Ideally yes. If you are short of time, begin with the plans and packages that bring in most of your new members.

What if a new member misses the first week?

Contact them in the first days, not weeks. A short, friendly message asking if something got in the way is enough.

Common mistakes

  • No baseline. Without a starting point, you cannot show progress.
  • Too much at once. A first plan should be simple.
  • Waiting for renewal to talk. By then the habit has formed or faded.
